Privacy Policy

1. Who this policy covers
This policy explains what personal data Sportingo collects, why, who processes it for us, and what rights you have over it. It applies to the Sportingo app and the sportingo.in website, run by Sparkstream Technologies LLP ("Sparkstream", "we", "us"), and to everyone who uses them: coaches, athletes, and parents or guardians who manage an athlete under 18.
2. What we collect
- Account. Your mobile number, checked with a one-time code sent by SMS. Your name, date of birth and city. If you sign in with Google or Apple, the name and email address they share with us. A profile photo, if you add one.
- Athletes managed by a guardian. The athlete's name, date of birth, sports and level, and the guardian's consent choices with the notice version and date.
- Coaches. The services you offer, prices, venue and weekly hours. To pay you, your payout details (account holder, bank account, IFSC, PAN, email and address) go to Razorpay to set up your payout account; we keep its status and only what we need to show it to you.
- Bookings and payments. The sessions requested and booked, the price, the platform fee and GST, and the status of each payment and refund. Razorpay processes payments; we keep the amounts and Razorpay's references, never your card, UPI or bank details.
- Sessions. When a coach runs a session in the app: its time, attendance, and the notes, photos and voice notes the coach adds, including any marks the coach draws on a photo. What a coach says into the app is turned into text, which is kept with the note.
- Reports and progress. The coach's scores, the session report and goals, and whether a goal is done.
- Private ratings. The rating and comment an athlete or guardian gives a session.
- Notifications and devices. Your notifications and settings, and a push token for each phone you use. If you let a phone remember your sign-in, a credential for that phone, unlocked with the phone's own screen lock.
- Technical records. Server logs such as request times, errors and app version, used to keep the service running and secure.
The app has no advertising and no third-party analytics or tracking tools.
3. Why we use it
To run your account and sign you in; to connect athletes with the coaches who invited them; to handle booking requests, payments, refunds and coach payouts; to keep the record of each session, its report and progress; to send you notifications about your own bookings and sessions; to answer support requests; and to keep Sportingo secure. We do not sell personal data, use it for advertising, or build a behavioural profile of anyone.
4. Speech to text, AI report drafts and voice transcription
When a coach speaks a note, a comment, a report or a voice note into the app, the phone's own speech recognition writes the words as they speak: Apple's on an iPhone, Google's on an Android phone. Depending on the phone and the language, this happens on the phone itself or on Apple's or Google's servers, under their own privacy terms. We receive only the text, and the audio when the coach saves a voice note.
A coach can ask for a first draft of a session report. To make it, we send a third-party AI model provider, through an OpenAI-compatible service, the athlete's first name and the coach's own notes and scores, as text. A voice note whose words the phone could not write is sent to the same kind of provider to be turned into text. Photos are never sent. The draft is shown only to the coach, who checks and edits it; nothing reaches the athlete until the coach approves and shares the report. We do not use your data to train AI models. For an athlete under 18, no AI draft is made unless their guardian has agreed to it (section 7).
5. Who sees it, and who processes it for us
Inside Sportingo: a coach sees the bookings, sessions, notes and reports of the athletes they coach. An athlete, and their guardian, sees their own bookings and what the coach chooses to share: the approved report and the session items the coach marks as shown. A shared report link opens only for that athlete, their guardian and the coach, after they sign in. Coaches never see who wrote a rating; they see a weekly summary only once ratings from at least three different athletes exist.
Outside Sportingo, only these service providers, each for its stated purpose:
- Amazon Web Services, which hosts our servers and stores profile photos, session photos and voice notes.
- Razorpay, for payments, refunds and coach payouts.
- An SMS provider, to deliver one-time sign-in codes.
- Google and Apple, when you choose to sign in with them.
- Expo, Apple and Google, to deliver push notifications to your phone.
- An AI model provider, for report drafts and voice transcription (section 4).
- Apple and Google, through the phone's speech recognition, when a coach speaks into the app (section 4).
6. How long we keep it
We keep your data while your account is open. Notifications are deleted after 90 days. Session notes, photos, voice notes and their text stay with the session until the account they belong to is deleted, or until a guardian withdraws consent for session records (then the photos and voice notes are deleted).
When you delete your account, it is erased straight away: see Delete your account for what goes and the few records we must keep. Payment records are kept, without your name or booking, for as long as Indian tax law requires. Server logs are kept only for a limited period to detect and investigate security problems.
7. Athletes under 18
You must be 18 or older to have an account. An athlete under 18 is added by a parent or lawful guardian, who manages the athlete's data and makes these choices for them:
- a declaration that they are the athlete's parent or guardian (required);
- that coaches the athlete books with may record notes, photos and voice notes during sessions (required);
- that Sportingo may draft session reports with AI from the coach's notes (optional).
The guardian can withdraw either consent in the app at any time, confirmed with a code sent to their number. Withdrawing session records deletes that athlete's session photos and voice notes; withdrawing AI drafts stops new drafts and deletes drafts not yet shared. We do not track an athlete across other apps or sites, and we never use an athlete's data for advertising.
8. Your rights
Under India's Digital Personal Data Protection Act, 2023, you can ask for a summary of the personal data we hold about you, have it corrected or completed, withdraw a consent you gave, have it erased, and nominate someone to exercise these rights if you cannot. A guardian exercises them for an athlete under 18. You can edit your profile and delete your account in the app; for anything else, write to support@sportingo.in. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
9. Security
The app and website talk to our servers over encrypted connections. Photos and voice notes are stored privately and open only through short-lived links for the people allowed to see them. Sign-in uses one-time codes, Google or Apple, and a remembered phone needs its own screen lock. Sportingo never receives your card, UPI or bank details: Razorpay handles them.
10. Cookies on this website
sportingo.in sets one essential cookie to remember your cookie choice. We do not run advertising cookies. If we add analytics, it runs only after you agree in the cookie banner, and you can change your choice at any time from Cookie settings in the footer.
11. Changes to this policy
We update this policy when Sportingo changes. The new version is posted here with a new date, and we tell you in the app if a change affects how we use data you have already given us.
12. Grievance Officer and contact
For a question about this policy, a complaint, or to exercise any right over your data, write to our Grievance Officer at support@sportingo.in. We reply within 90 days, and usually much sooner.
